Setting up your HeyOrca account
To get started on HeyOrca, set up your account by starting a free 14-day trial. You’ll be prompted to complete your set-up by entering your personal and company details, then you’ll create your first workspace and select the social channels you’d like to use.
When you complete the information set-up, you will be sent an email to set up a password to create your user account. Once you have created a user account, your HeyOrca trial account is set up and ready to use.
Understanding your Workspace
A workspace in HeyOrca is your team’s home base for planning, creating, and organizing social media content. It’s where your calendar, social channels, and collaboration all come together in one place.
It’s common to organize Workspaces by client, brand, location, or team. Each Workspace on a paid plan can connect up to 10 social accounts, giving you flexibility in how you structure and manage your content calendars.
Your Dashboard
When you land in HeyOrca, you’ll be brought to your Dashboard.
The Dashboard is your organization’s home base in HeyOrca, where you can quickly access all your workspaces, keep an eye on post approval statuses, and create or join new workspaces—all in one place.
In your Dashboard, each Workspace will have its own tile. Within that tile you can:
View the workspace subscription tier (Free, Basic or Pro)
View workspace settings by clicking the gear icon (⚙️)
Get an overview of upcoming posts in different stages for the next 30 days. (Hover your cursor over the draft stage box to view the information panel shown above.)
👀 FYI: The Dashboard is visible for all user roles that have a log in, which is all user roles except External Stakeholders.
Selecting a Workspace
By clicking the Select tab on the left navigation panel, your Workspaces will be listed for you to select from.
In this pop-out, you can also create a new Workspace by clicking the +Create button as well as star your most used Workspaces to put them at the top of the list for quick selection.
Navigating your Workspace
When you access your Workspace, you’ll land on the monthly Calendar view. Your Calendar will show any scheduled posts as well as event strips.

Top navigation bar
The top navigation bar gives you quick access to workspace-wide tools, notifications, account management, and Oscar AI assistance from anywhere in HeyOrca.

Oscar AI: Oscar is HeyOrca’s built-in AI assistant. You can use Oscar to support your content creation workflows.

Directly to the left of your main Workspace area is the Workspace menu.
At the top is your Home button, which will bring you back to your Dashboard.
Directly under that will be your Workspace navigation button.
This will show the profile image for the Workspace you're currently in. By clicking it, you can switch between other Workspaces connected to your account.
Have a workspace you want to access quickly? You can Star your most used Workspaces to keep them at the top of your list.
Workspace Menu Options
The tabs in the menu will bring you to a different page within your Workspace to access different features, according to your subscription.
Calendar
Plan, schedule, and manage your social media content across different calendar views.
Inspo
Access your Inspo Library to save and organize content inspiration, trends, and ideas for future posts.
Notes
Notes allows you to create internal documents to collaborate with your team and keep track of important planning details.
Library
Access your Media Library and Content Library, where you can store and organize your media files and create reusable content assets in one place.
Reports
Track and analyze your social media performance with shareable reports and analytics. This is a feature on Pro plans or can be added to Basic plans as an Add-On. Learn more about Reports.
Listening
Access Brand Monitoring to track brand mentions, conversations, and engagement opportunities across your connected social channels.This is a feature on Pro plans or can be added to Basic plans as an Add-On. Learn more about Brand Monitoring here.
Inbox
Access your Social Inbox where you can manage comments, messages, and community engagement from connected accounts in one centralized inbox. This is a feature on Pro plans or can be added to Basic plans as an Add-On. Learn more about Social Inbox here.

Navigating the Calendar in your Workspace
The Workspace Calendar serves as your primary hub for coordinating, reviewing, and managing social media content. It’s where you can oversee the entire lifecycle of your posts, from initial planning to final publishing across all connected channels.

HeyOrca offers multiple ways to visualize your content schedule. You can easily toggle between different views to suit your current workflow requirements.
Month View: Provides a comprehensive, high-level perspective of your entire monthly strategy.
Day View: Offers a focused environment to inspect specific posts and details for a single date.
Grid View: Visualizes your Instagram aesthetic by showing how future posts will appear on your profile, while also providing access to your Bio Link tools.
Create content
Starting a new post is simple and can be done from two different locations within your workspace:
Select Quick Actions located in the upper-right area of the interface.
Click the New Post button directly on any specific calendar date.
Both methods will launch the post composer, allowing you to begin drafting your content immediately.
Calendar Planning Features
Plan with Event strips
Event strips are visual placeholders that help you stay organized without needing to create a full social post. They are perfect for tracking internal milestones, holiday reminders, or upcoming product launches.
Filter and share content
Use Filters to narrow down your view by social account, campaign, or approval stage, making it easy to locate specific items.
The Share feature allows you to create a dedicated link for clients and team members, enabling them to review content and leave feedback even if they don’t have a login.
Manage holidays and observances
You have full control over which special dates appear on your calendar. These settings can be adjusted within your Workspace Settings to ensure only relevant events are displayed.
User Roles
HeyOrca uses user roles and permissions to control what each person can access and manage within a Workspace. Roles help you collaborate securely with both internal team members and external clients by giving each user the level of access they need.
Depending on their role, users may be able to create content, manage settings, approve posts, or only view shared content. Most users have their own login credentials, however External Stakeholders access content only through shareable links.

Workspaces on the Free tier include 1 user, 2 social accounts and 15 scheduled posts per month as well as other free essential features.
Workspaces on paid subscriptions such as Basic and Pro include unlimited users, up to 10 social accounts and unlimited scheduled posts per month as well as other premium features.
What’s the difference between an Organization and a Workspace?

In HeyOrca, your Organization is typically your agency or company that manages your Workspaces.
Workspaces live under the Organization and function as separate content calendars for individual clients, brands, locations, or teams—each with their own social accounts, posts, users, libraries and settings
Is a Workspace the same thing as a client/brand/calendar?

A Workspace is the main area where your team plans, creates, schedules, and collaborates on content. Many teams organize Workspaces by client, brand, location, or department so, you may also hear them referred to as calendars or client accounts.
Can multiple people work in the same Workspace?

Yes! Multiple team members and clients can collaborate in the same Workspace together. You can see if other team members are also working in your Workspace through Real-Time presence.
Why do I only see certain features or buttons?

Some features and navigation items vary depending on your subscription tier and user permissions. If you don’t see a specific feature, it may not be included in your plan or available for your user role. The Workspace Owner and/or Admin has the ability to change these user permissions.
Can my clients see other clients’ Workspaces?

Only users that are added to a Workspace will be able to see it. They can’t view or interact with other client Workspaces in your organization.

Workspace Settings control aspects specific to an individual Workspace, like connected social accounts, users, approvals, and publishing preferences. Account Settings are tied to your personal account and organization-level preferences, like notifications, billing, and profile details.

Features available in your Workspace depend on your subscription tier. Some tools, like Reports, Social Inbox, and Brand Monitoring, may only be available on Pro plans or as add-ons.
