Every workspace in HeyOrca has its own Media Library where your images, videos, and GIFs are stored and organized. When you upload media to a post, a copy is automatically saved in the Media Library.

Add Media to Your Library
Select a calendar.
Click Library in the left navigation bar.
Click Upload media in the top right corner.
You can upload files from:
Your device
Dropbox
Google Drive
Google Photos
OneDrive
Other supported integrations
You can also:
Drag and drop files directly into the library
Create content using Canva and save it to your library
💡Tip: Drag and drop can also be used when creating a post directly from your calendar!
Find and organize media
Once media is uploaded, you can:
Search by file name, tag, or description
Filter by file type
See whether a file has already been used in content
Add tags to keep assets organized
Add tags to your media
Tags make it easier to organize and find media in your library later.
Open your Media Library from the left navigation bar.
Click on the image, video, or GIF you want to tag.
In the media details section, locate the (+) under the Tags: section.
Type the tag you’d like to add, then press Enter to save it.
Now, from the search bar in the top right corner of the window, you can search for any posts by their tag.
Use folders to organize media
Folders help you group and manage related assets.
Create a folder
Click ‘Create folder’ in the top right of the Media Library.
Name your folder.
Click Save.
Your folder will appear under the Folders dropdown.
Rename a folder
Click the three dots next to the folder name.
Select Rename.
Save your changes.
Move media into folders
You can organize media in multiple ways:
Drag and drop
Click and hold a file, then drag it into a folder.
Move multiple files at once
Hold Command (Mac) or Ctrl (Windows).
Select multiple files.
Drag them into a folder.
Use bulk actions
Select multiple files.
Click Bulk actions.
Choose the folder you want to move them to.
To move media back to the main library, drag it out of the folder.
💡 Tip: The media folder thumbnails allow you to quickly view the last media that was added to your library!
Archive media and folders
Archiving removes media or folders from your main library without permanently deleting them.
Archive items
Click the three dots on a file or folder.
Select Archive.
The item will move to the Archive folder.
You can also archive multiple items using Bulk actions.
Restore archived items
Open the Archive folder.
Select the item.
Click Restore.
The item will return to your Media Library.
💡 Tip: You can also use bulk actions to archive and restore multiple pieces of media and folders at once!

Yes! Every calendar in HeyOrca has its own Media Library. Media uploaded to one calendar will not appear in another calendar’s library.

Yes! Any media uploaded to a post is automatically saved to that calendar’s Media Library so you can reuse it later.

What happens if I delete or archive media?
Archiving media moves it to the Archive folder, where it can be restored later. Deleting media permanently removes it from the library.
What user roles can access the Media Library?
What user roles can access the Media Library?
Users can access the Media Library if their user role allows them to view or edit content within the calendar which are Workspace Owners, Internal Admins, Internal Copywriters, External Admins, and External Copywriters. Internal Stakeholders can view only and External Stakeholders do not have access.
