Reauthorize your accounts

Learn how to reauthorize your social accounts in HeyOrca and understand the permissions required for each platform connection.

Reauthorization is the process of reconnecting your social accounts to HeyOrca and ensures that your accounts stay securely connected and your publishing workflows continue running smoothly.

Why do I need to reauthorize?

Social networks require your permission to connect third-party apps, like HeyOrca, to your accounts. As part of their security practices, platforms occasionally require you to reauthorize your connection to confirm you still want HeyOrca to access your accounts.

This is normal behaviour across social networks and third-party publishing tools, and the timing and requirements are controlled entirely by each platform.

Common Reasons for Reauthorization

  • A period of time has passed, determined by the social network

    • Example: Facebook often requires reauthorization approximately every 60 days. However, these timelines can change at any time without notice.

  • Your password was changed

  • Your account permissions or admin access changed

  • Two-factor authentication (2FA) needs to be completed

  • The social network detected unusual or suspicious activity on the account

  • The connection permissions were revoked or expired on the social network’s side

  • You are logged into the wrong account in your browser during reauthorization

When a social account becomes disconnected, HeyOrca may no longer be able to:

  • Publish scheduled posts

  • Collect analytics and reporting data

  • Pull in Social Inbox activity

  • Sync updates from the social network

We recommend reconnecting accounts as soon as possible to avoid interruptions to publishing and reporting.


Reauthorizing your accounts

Accessing your Reauthorization Dashboard

Click the check box on the lower left corner of your window labeled Reauthorization Dashboard. You will be directed to your Reauthorization Dashboard.

If you see a number on the checkbox, this indicates how many social accounts need to be reauthorized.

You'll be re-directed to the Reauthorization Dashboard where you'll have a complete overview of all connected social accounts across your Workspaces see which accounts are connected successfully and which may need attention.

Each account row includes:

  • The connected social platform

  • The name of the connected social account

  • The last user who reauthorized the account

  • The date the account was last successfully reauthorized

Accounts that require attention will appear outlined in red.

Check Status vs Reauthorize

Use Check Status first to refresh the current connection between HeyOrca and the social network.

In some cases, the connection may still be valid, and the warning will clear automatically after the status is refreshed.

If the account still appears outlined in red after checking the status, you will need to Reauthorize the account and complete a new authorization with the social network.

Before reauthorizing any account

  • Disable pop-up blockers for app.heyorca.com

  • Make sure you’re logged into the correct social account in your browser

  • Complete any required two-factor authentication

  • Confirm you still have the correct permissions/access to the account/page

  • Click “Check Status” first to confirm the account actually needs reauthorization


Reauthorizing by Platform

Facebook

To reauthorize a Facebook Page connection, you must:

  • Have Full Control access on the Facebook Page

  • Be logged into the correct Facebook profile in your browser

When you click Reauthorize in HeyOrca, you’ll be prompted to log into Facebook and approve access to your Pages and permissions again.

Instagram

FYI 👀: Instagram Business connections are authorized through Facebook’s API, so Facebook Page permissions are required even if you are only reconnecting Instagram.

To reauthorize an Instagram Business account, you must:

  • Have Full Control access to the connected Facebook Page

  • Ensure the Instagram Business account is linked to that Facebook Page

  • Be logged into the correct Facebook profile in your browser

When you click Reauthorize in HeyOrca, you’ll be prompted to log into Facebook and approve access to the connected Facebook Page and Instagram Business account again.

LinkedIn

Personal Profile

To reauthorize a LinkedIn Personal profile, you must:

  • Be logged into the correct LinkedIn account in your browser before reconnecting

When you click Reauthorize in HeyOrca, you’ll be prompted to log in to LinkedIn and approve access to your personal profile connection again.

Company or Showcase Page

To reauthorize a LinkedIn Company or Showcase Page, you must:

  • Be a Content Admin or Super Admin on the LinkedIn Page

  • Be logged into the correct LinkedIn account in your browser

When you click Reauthorize in HeyOrca, you’ll be prompted to log into LinkedIn and approve access to manage your LinkedIn Pages again.

TikTok

To reauthorize a TikTok account, you must:

  • Be logged into the correct TikTok account in your browser before reconnecting

When you click Reauthorize in HeyOrca, you’ll be prompted to log into TikTok and approve the account connection again.

YouTube

To reauthorize a YouTube connection, you must:

  • Have Owner access on the YouTube account

  • Be logged into the correct Google account in your browser

When you click Reauthorize in HeyOrca, you’ll be prompted to log into YouTube and approve access to your YouTube account again.

⚠️ Manager or Editor permissions in YouTube Studio may not be enough to connect or reauthorize a YouTube account in HeyOrca. In most cases, you must have Owner or Primary Owner access to the YouTube channel or Brand Account.


Google Business

To reauthorize a Pinterest account, you must:

  • Confirm that you are an Admin of the Google Business Profile

  • Make sure the Business Profile is active and live on Google

  • Ensure you can successfully log in to and manage the profile directly through Google

  • Check whether the profile is part of a franchise or multi-location business

  • The business is not a franchise or multi-location Google Business account type

When you click Reauthorize in HeyOrca, you’ll be prompted to log into Google and approve access to your Google Business Profile again.


Pinterest

To reauthorize a Pinterest account, you must:

  • Be logged into the correct Pinterest account in your browser before reconnecting

When you click Reauthorize in HeyOrca, you’ll be prompted to log into Pinterest and approve the account connection again

Threads

FYI 👀: Threads connections rely on Instagram account authentication through Meta.

To reauthorize a Threads account, you must:

  • Be logged into the correct Instagram account connected to Threads in your browser before reconnecting

When you click Reauthorize in HeyOrca, you’ll be prompted to log into Instagram through Meta and approve the Threads connection again.


Mailchimp

To reauthorize a Mailchimp connection, you must:

  • Be logged into the correct Mailchimp account in your browser

  • Have access to the Mailchimp audience/account connected in HeyOrca

When you click Reauthorize in HeyOrca, you’ll be prompted to log into Mailchimp again and approve the connection permissions.

Best practices for keeping accounts connected

Social networks occasionally expire or interrupt third-party connections due to password changes, permission updates, security checks, or platform requirements. Because of this, we recommend checking your account connection statuses regularly.

As a best practice:

  • Review your connected accounts every 30 days

  • Use Check Status to confirm connections are still active

  • Reauthorize accounts if they have not been refreshed in 60+ days, even if no warning appears.

Regularly reviewing your connections can help prevent interruptions to publishing, analytics, and reporting.


FAQ: Reauthorizing Accounts

I’m logged in to the account and it’s still not showing up as an option to connect in HeyOrca. What do I do?

Try taking the reauthorization steps in an Incognito/Private browser. Sometimes the caches and cookies can impact initial connection or reauthorization.

How do I know if I have the correct permissions for an account?

The required permissions depend on the platform you are trying to connect or reauthorize. If you are unsure whether you have the correct permissions, try accessing and managing the account natively on the social platform first.

If you do not currently have the required permissions, an existing admin or owner of the account will need to grant you access directly on the platform.

I don’t have the correct permissions—how do I get them?

If you do not currently have the required permissions, an existing admin or owner of the account will need to grant you access directly on the platform. Some platforms may take time to process new permissions before they work with third-party integrations like HeyOrca.

Here’s what is typically required for each platform:

  • Facebook & Instagram Business: Ask a Facebook Page admin to grant you Full Control access on the Facebook Page

  • LinkedIn Company & Showcase Pages: Ask a Super Admin to assign you as a Content Admin or Super Admin

  • YouTube: Ask the channel owner to add you as an Owner or Primary Owner

  • Google Business: Ask an existing Business Profile admin to add you as a manager or owner

  • TikTok, LinkedIn Personal, Pinterest, Threads, and Mailchimp: Ensure you are logged into the correct account credentials in your browser before connecting

Some platforms may take time to process new permissions before they work with third-party integrations like HeyOrca.

I reauthorized my accounts but my reports are still not accurate.

Please allow for up to 48 hours after reauthorization for reporting data and analytics to populate accurately. If you’re still seeing a discrepancy between your reporting data natively in the platform and HeyOrca, please reach out to Customer Care.
