How to Use Publishing Notes to Add Relevant Information!

Add relevant info to your mobile app and email notifications such as trending audio links with publishing notes!

What are Publishing Notes?

Publishing Notes for notifications are designed to help you add trending audio links even more easily to your HeyOrca content! Publishing Notes makes it effortless to add your relevant trending audio links for both Instagram and TikTok content for use in your notification-based posts.

You can add your audio link in the HeyOrca web app when creating a post, and easily use the attached sound link in your content when it's time to publish with a few clicks! The audio link will be attached to your post in the HeyOrca mobile app notification and email notification.

How to Use Publishing Notes (Video)


Add Trending Audio to TikToks

Step 1: Create a new TikTok Post.

Start by creating a TikTok post and entering your required information such as the video and caption to the post creation page.

Step 2: Select Notifications from the Publishing Details.

Ensure that your notification details are selected to Notification, using the drop down menu.

Note: Publishing Notes are only available for content that is being published via email and mobile notifications

Step 3: Add your Publishing Note.

To create a publishing note, select the dropdown menu located under your post's caption. From here you'll be able to easily add in your trending audio link, as well as any other information you'd like to provide your team.

When you're happy with the note, press 'Enter' to save it.

Pro Tip: It's recommended to keep audio links and general notes separate. Pressing enter will allow you to add a new note.

Step 4: Finalize your Post & Schedule Your Content.

Once you're happy with your content, you can go ahead and schedule it!

Step 5: Open the HeyOrca Mobile App.

At your scheduled publishing time, your content will be sent to your HeyOrca mobile app, as well as your email as a notification.

Select the HeyOrca! Notification to open up the app!

Step 6: Select Download to Publish to copy the post caption and download the video.

Once you're in the app, hit Download to Publish. Your content will be downloaded to your media gallery, and your caption will be copied to your clipboard!

This will display the following message, which will allow you to either stay within the HeyOrca mobile app, or open the TikTok app.

Select Stay Here to use your trending audio link. Once you've selected Stay Here, click on your link to open up the audio link in your browser and select Ok when prompted.

Step 7: Use the Audio!

In the browser, you'll be able to view the audio that was linked out. From here you'll be able to see relevant information about the audio such as the name, how many videos use it, and popular TikToks that use the video.

Select Use this Audio to add it to your content!

Step 8: Finalize and Publish Your Post on TikTok!

With the audio now selected, you can finish creating and finalizing the rest of your post!

You'll be able to verify the audio is attached in the post preview displayed prior to publishing.

Select Next to proceed with adding your caption and remaining details!

Once you're happy with everything, go ahead and press Post to publish your content!

You've now successfully added a trending audio to accompany your TikTok!


Add Trending Audio to Instagram Reels

Adding trending audio to Instagram posts using publishing notes is very similar to TikTok!

Step 1: Create a new Instagram Post.

Create a new Instagram post and in your required information such as your Reel video and caption!

Step 2: Select Notifications from the Publishing Details.

Ensure that Notifications are selected from the publishing details drop down menu.

Note: Publishing Notes are only available for Instagram content being published via notifications

Step 3: Add Your Trending Audio Link, or any other relevant details in the publishing notes section. To create a publishing note, select the dropdown menu located under your post's caption.

From here you'll be able to easily add in your trending audio link, as well as any other information you'd like to provide your team.

Hit Enter to save your publishing note!

Step 4: Finalize your Post & Schedule Your Content.

Step 5: Select the Notification to Open the HeyOrca mobile app.

Step 6: Select Download to Publish.

Select Download to Publish to save your content to your media gallery on your device, and copy the caption to your clipboard.

Step 7: Click the Link to open up the audio in your browser.

You'll then be prompted to either open the Instagram app, or stay in the HeyOrca mobile app. To add your trending audio, select Stay Here.

Step 8: Click on the audio link to open the IG app

Step 9: Select Use Audio

Once in the app, you'll be able to view the audio along with relevant information such as the number of uses as well as recent content using that audio.

Step 10: Finalize and publish your post on Instagram!

View Publishing Notes on Email Notifications

Publishing notes are also available via email notifications. Once your scheduled time arrives, your publishing notes will be displayed towards the bottom of your email notification!


Alternate Uses

Publishing notes are great for when you want to add trending audio, but they're also great for when you want to provide your team with relevant information.

Alternative uses of the publishing notes feature include:

Leave general notes

Easily add notes for your team to view when they open up the post on their mobile app, or email. You can add instructions on posting or any other information that may be relevant!

Add links for Instagram story stickers

When using publishing notes with Instagram stories, you can easily add sticker links as well! When posting your story, you can easily copy the sticker link to your clipboard and paste it into your post.

Tag collaborator posts

Got a collaborator you want to tag? Add their @handle into the publishing notes section to easily copy and paste it into the post you're creating natively. Publishing Notes makes it easier than ever to tag collaborators while saving time!
