Generate and schedule reports to be sent automatically to your stakeholders!

Want to save time sending reports to your clients? Now you can with HeyOrca's Automated Reports!

Use this tool to automatically email PDF reports to clients or team members on a recurring schedule. You can also use Automated Reports to send a one-time report directly from your HeyOrca calendar, so you don't need to export your report and send it manually.

Automated reports are available for all social accounts compatible with HeyOrca Reports.

Schedule an Automated Report

Step 1: Visit the reports dashboard

Head over to the reports dashboard by using the Reports button located on the left hand side panel.

Step 2: Generate your desired report

Select the channel that you'd like to generate your report for.

Step 3: Select Email this Report

Hover over the Share button to open up the report sharing options. To send a report, select Email this Report.

From here, a new form will be opened allowing you to enter in your details.

Start by selecting your reports frequency. You can choose to send a one time report, or create an automated report. To create an automated report, select Yes, this is a scheduled email.

Once selected, you'll be prompted to enter in your automated report details!

First, select the date range that will be used when generating your report. You can choose from This month, Last month and 3 months!

Next, proceed to step two where you'll be prompted to enter in your scheduling details to specify when your automated report will be sent!

In the Schedule field, select when your report will be sent. You can choose from creating a Monthly, Weekly, Daily and Quarterly report!

If you've selected to have a monthly report, the next field will allow you to choose if your report is sent at the first of the month or the last of the month. For weekly reports, you'll be able to choose the day of the week it's sent.

Quarterly reports are sent at the end of the quarter, and daily reports are sent each day during your specified time.

Next, choose the time of day you want your report to be sent via the time picker.

Finally, enter in your client details to specify who your report will be sent to!

In the from field, enter in who you'd like have as the sender of the report. For example, this could be your Agency's name, or your own!

In the next field, select the users who you want to receive the report. You can choose users from your calendar, or enter in a new email to send the report to!

Next, enter in the subject line that'll accompany your automated report.

Finally, you can enter in a message to be sent along with your report. If you don't want to add an additional message, you can use the default message already added in!

When you're happy with everything, hit Schedule to save your changes! Your Automated report has now been scheduled and will be sent to your specified clients at it's designated time!

Sending a one-time report

To send a one time report, choose the option stating the report will be sent only once.

You'll then be able to enter in your relevant details for your report!

In the field titled From, enter in the name you'd like to have appear on your report that'll be visible by your clients.

Next, in the box titled Share to Users, you can select your desired recipients! You can choose from members of your calendar, or enter in a new email to receive your report. Calendar Users and Non - Calendar Users that have been selected will appear in their respective categories.

Next, you'll have to enter in your email subject line to accompany your report

The last field allows you to enter in customized message before sending your report. You can also choose to use our default message!

Once you're happy with everything, hit the Send Now button to send your report! Your report will be sent to your selected recipients via email as a PDF report!

Manage your scheduled reports

To view your scheduled reports to make changes or delete your automations, hover over the Share button and select Manage Scheduled Reports

To make edits to an existing scheduled reports, click on the scheduled report to open up the edit menu. Here you can make changes to any of the fields and re-schedule your email reports.

To delete a scheduled report, select the trash icon.
