Manage notifications settings

Learn how to customize email and in-app notifications for each of your workspaces in HeyOrca.

HeyOrca lets you customize notifications separately for each workspace you belong to. This article covers every notification type and setting, whether you're managing your own account or setting things up on behalf of someone else.

Notification Setting Options

For most notification types, you choose an email frequency:

  • Live: notified in real time

  • Hourly: one consolidated email per hour

  • Daily: one consolidated email per day at 4:00 pm EST

  • Off: no email notifications

⚠️ Approval Reminders and Failed Posts can only be set to Live or Off.

Where available, each notification type also has a separate web-app (in-app) toggle you can turn On or Off.

Turn off notifications

To turn off all notifications for a workspace at once, use the toggle next to the workspace name. Grey on the toggle means the notifications are off.

Manage your notifications

  1. Click Account settings from the top navigation bar, on the far right side.

  2. From the dropdown menu, select Notifications.

  3. Use the arrow next to a workspace to expand it, or select Expand All to open every workspace at once.

  4. Adjust the frequency and in-app settings for each notification type.

👀 FYI: Each Workspace has its own notification settings, so you can match notifications to each team's workflow.

Manage notifications for other users

Organization Owners can change notifications on behalf of other users, including External Stakeholders. External Stakeholders don't have logins, so this is the only way their settings get adjusted.

  1. Click Account settings from the top navigation bar, on the far right side.

  2. From the dropdown menu, select Organization.

  3. Find the user you want to change notifications for.

  4. Click the gear icon (⚙️) next to their name, then select the Notifications tab.

  5. Choose All workspaces to apply one setting everywhere, or click into a specific workspace to customize the settings for that workspace.

  6. Adjust frequency and in-app settings the same way you would for your own account.


Set approval reminder timing

Approval reminders are follow-up emails sent as a post gets closer to its publish time while it's still awaiting approval. Once a post is approved, reminders stop.

For yourself:

  1. Go to Notification settings.

  2. Select the workspace you want to manage reminders for.

  3. Enable Approval reminders.

For other users:

  1. Go to the Workspace Settings for the workspace.

  2. Select the Reminders tab.

  3. Select the checkbox next to each user who should receive reminders.

  4. Choose a timing: 24 hours, 3 days, or 7 days before the scheduled publish time.

For example, a 24-hour reminder sends an email one day before publishing; a 3-day reminder sends one three days before.

Change Social Inbox notification settings

Social Inbox notifications can be managed from the Community Management section of the Notification settings modal. You can choose the email frequency for each engagement type:

  • Comments

  • Mentions

  • Direct messages
